  • Contact list – Please put in all names and phone numbers as we will need to see them in case of an emergency.

  • Risk Assessments for stall holders – as we discussed, if you are putting everyone under your RA the say so in the EMP (Event Management Plan or RA). Otherwise, if they are a more established trader then we would expect to see their Risk Assessments and Public Liability Insurance uploaded to the Event App. 

  • Gazebos – add max wind speed to Risk Assessment and we recommend an anemometer to measure the wind speed as it is more accurate than a phone app. 

  • Generator – make sure it is fenced off, fuelled before onsite and fumes away from public and trees. 

  • Site Plan – if you can add a muster point for evacuation away from the event footprint (may need a bigger map zoomed out for this). First aid point/ Lost Child point too. 

  • Inflatable Castles – Please see our guidance below:

We do not encourage the use of bouncy castles at events, however if you choose to have a bouncy castle/inflatable you must ensure: 

·       The supplier is a reputable company and must be in attendance for the duration of the event to monitor the safety and maintain the inflatable throughout 

·       That proof of the event organiser insurance is provided, covering a minimum of £5million 

·       That proof of the bouncy castle suppliers Public Liability Insurance is provided – minimum of £5million 

·       Proof the equipment is fit for purpose and approved for commercial use, and maintained properly to PIPA standards is provided https://www.pipa.org.uk/

·       That the supplier Risk Assessment is provided, which must include: 

·       Assurance that the inflatable will be ground anchored adequately 

·       Assurance that wind speeds will be monitored using an anemometer by the organiser/supplier and that they are familiar with the maximum wind loadings for the equipment 

·       Assurance that the organiser/supplier will control access/egress to/from the equipment adequately and not exceed any maximum nos of participants. As well as written assurance of what the maximum no of participants is as well as age limits

Emergency Planning – If any incidents were to happen that needed Local Authority Support please use the emergency out of hours phone line that will get you in contact with the emergency planning officer or other response services 01225 47 74 77

Health & Safety – I noted on the site plan that there’s reference to several ‘Inflatable art’ located around the site, but could not find reference to these in the RA or EMP, only reference to the bouncy castle. How big will these inflatable arts be, who will be supplying them and how will they be secured?
